Banner Error Cheat Sheet

Below is a cheat sheat to some common errors found in the Banner interface. Please note that your IT department can also be a good resource to assist you with fixing errors that you are unable to resolve on your own. 

Banner Errors:

  • Visa Type – this generally means that the student indicated a visa type that is not valid at your institution. In order to fix this record, you can do one or two things, (1) blank out the current visa type value present on the record (2) Reassign or select a visa type that is valid for your institution so that the file can push. In either case, It's critical that you contact the student to ensure they are aware of the visa’s that you provide to students, so they are not surprised later down the line.

 

  • State Code – This generally means that the address state listed is not valid. This could be that the student put the city in the state column, it’s an international student address whereby the state portion of the address is too long and needs to be fixed.

 

  • Preferred email already exists – This likely means that the student has an email that has been flagged as their primary email in Banner already. You will need to inactivate/remove the primary email currently in Banner so that the new email address on the AP record can push.

 

  • Error inserting PR address - sequence number already in use - unsure how to rectify this issue. Try deleting all permanent resident (PR) addresses in Banner.

  • Error inserting PR address - zip, state, and nation cannot be null - There is an issue with the address. Make sure the country is set for international addresses. If the country is set, AdmissionPros may not have the correct country code value that matches Banner. Find out what Banner is using for the country code and update AdmissionPros with that information.

 

  •  Gorprac Invalid PIDM-this indicates an issue with the race table but generally means there is something else going on with the record. If you notice Invalid PIDM in the description, write down the students current ID number and PIDM then blank it out and take the student back through the people matching process. This should help to clear the error.

 

  • LFOS Errors - This indicates a major codes issue. Any portion of the code could be incorrect (ie; the degree code, major code, program code, department name, etc.) Please review all aspects of the data.

 

  • Rows that show all blanks like the below generally indicate a major codes issue. Check all components of the majors data (department, codes, etc).

 

  • 1176 codes - This generally means a major codes issue. Check all components of the majors data (department, codes, etc.)

 

  • General student record already exists - This generally means that the student record (SGASTDN) is active. The record must be inactivated before the file will push to Banner.

 

  • Registration Exists - This means that there is an active registration in Banner for this record. Classes will need to be dropped in order for the file to push to Banner.

 

 

  • APPLHOLD - This generally means that an application currently exists in Banner and that application has an active hold. The hold must be removed before the record will push. Note that you can temporarily remove the hold and then place the hold back on the record if needed once the application is pushed.

 

  • SGBIThis is generally a high school code issue. This could generally mean a few things (1) the high school code listed on the students education record is incorrect and needs to be fixed or (2) Banner has a different high school code designated in the system for this school or (3) Banner does not have a high school code designated in the database for this high school and one needs to be created.

 

Steps to Take:

1. Verify whether the high school code is valid on the education screen. If it's not, use the binoculars to locate a valid high school and CEEB code. 

2. If you are unable to locate the school from the education record, please refer to your Banner system to determine if a CEEB code exists for the students attending high school.

3. If a CEEB code exists for said school, please add the CEEB code that you see in Banner to AdmissionPros via the High School Codes screen.

4. If a CEEB code for a school does not exist in your Banner system, you must find the CEEB code by using the College board or ACT CEEB code finder or you can perform a general google search. Once you locate a CEEB code for said school you must add it to Banner first and then add that same CEEB code to AdmissionPros via the high school codes screen.

5. Once the appropriate steps as outlined above are completed, you can attempt to repush the record. 

 

 

  • High School Code - This is generally a high school code issue. This could generally mean a few things (1) the high school code listed on the student’s education record is incorrect and needs to be fixed or (2) Banner has a different high school code designated in the system for this school or (3) Banner does not have a high school code designated in the database for this high school and one needs to be created.

 

Steps to Take:
