Communication Track - Prospect Not Applied
CREATING PROSPECT/NOT APPLIED COMMUNICATION TRACK |
Steps to create a prospect/hasn’t applied communication track.
Communication tracks run once a day, first thing in the morning, so you will see the first batch of emails sent the next day. Any new prospects added that meet the query criteria will be sent the email on the day after they were imported.
· Create comm track
· Create track query (identifies audience)
· Create communication details (requires the email template already exist so ID will be available to select). Be sure email template uses the prospect track email datasource.
Create Prospect Communication Track
- Click NEW
- Enter information requested.
· since this is a prospect track, select track type of prospect.
· Track start date – enter the first day you want the track to run
· Track end date – enter the last day you want the track to run (can be far into the future unless email content is time sensitive)
Create Track Query
Each track requires a query to identify the target audience. Using icons highlighted below, you can either create a new track (pencil icon) or copy an existing track which you can subsequently edit.
The query for this track looks like the following:
The Prospect Major field is used to select all majors this comm track and related communications are a fit for.
Once track query is created, return to the communication track builder screen and click SAVE.
Add Communication Details (communication flow)
Open the track just created and click NEW. Provide information requested. Select the ‘email to send’ from the list of templates returned when the eyeglass icon is clicked. NOTE: the first communication in a communication flow is the INITIAL communication.
The initial communication will be the only communication sent UNLESS additional communications are added.
Once the initial communication is in place, to add additional and recurring communications click NEW again. A slightly different screen will appear.
When to Send – defines timing of subsequent communications
· Specify number of days after initial communication you want the new communication to go out
· Select the communication you want this subsequent communication to be offset against
· If you want the communication to recur on a scheduled basis, indicate total number of sends along with the number of days between each
