AP5: PROSPECT/APPLICATION MANUAL ENTRY
The names of individuals you meet who express an interest in admission should be entered into AdmissionPros as prospects. This will create a portal account for that person and will allow you to establish a pattern of ongoing recruiting communications, and easily maintain contact with those individuals. New prospect information received either in paper or in person form (not via an import or via a paper application submitted) must be entered manually into AdmissionPros. If the list is large import of the information is a better option, but the following facilitates the occasional single entry that is often necessary.
PROSPECT MANUAL ENTRY (creates person/prospect only)
Step 1: via PERSON SEARCH, search for the person by name. This is to determine whether or not a record for that same person already exists in AdmissionPros. If the person is found, they already have a prospect record so there is no need to create a new one.
Step 2: If the person is NOT found, click the CREATE NEW PERSON button.
Step 3: Enter the person’s information on the screen returned. Once the info is entered, click SAVE. Note: the following information is required:
· First name
· Last name
· Email address (properly formatted)
In addition, date of birth, address, anticipated entry year and term, and major of interest, will help with record matching (prevents duplicates), and will facilitate targeted recruitment communications.
PROSPECT AND APP MANUAL ENTRY (creates prospect as well as application)
If you need to manually enter an application for this person as well, click the Create New Person & App button. This one screen allows you to create the person and their application in one step.
Entry of person details is as described above. Application information is entered here. Save when done and the application will appear in the NEW APP folder for processing.
